  • Retention: server logs are retained for the period necessary for security analysis, typically not longer than 30 days, after which they are deleted or anonymized

3.2. Responding to inquiries and pre-contractual communication

  • Purpose: handling inquiries received via email or encrypted-messenger channels; pre-contractual discussion of services

  • Data: contact data and any business information you provide voluntarily (Section 2.2)

  • Legal basis: Article 6(1)(b) GDPR — performance of a contract or pre-contractual measures at your request; in the alternative, Article 6(1)(f) GDPR — legitimate interest in responding to business inquiries

  • Retention: for the duration of the inquiry plus a reasonable follow-up period; for engaged clients, for the duration of the engagement plus the statutory record-keeping period

Transfer mechanism: EU-US Data Privacy Framework (Commission adequacy decision C(2023) 4745). Vercel Inc. is certified under the EU-US DPF, UK Extension and Swiss-US DPF.

5.2. Email

Processor: Google LLC (Google Workspace)

Address: 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA

Purpose: Provision of business email at the @mantelhandel.com domain

Categories of data: Email correspondence with MantelHandel LLC

Transfer mechanism: EU-US Data Privacy Framework. Google LLC is certified under the EU-US DPF, UK Extension and Swiss-US DPF.

5.3. Domain registration / DNS

Processor: 1984 ehf. (Iceland)

Address: Árbæjarholti 12, 110 Reykjavík, Iceland

Purpose: Domain registration and DNS management

Categories of data: Domain ownership records; DNS query logs at the DNS-provider level

Transfer mechanism: Iceland is an EEA member state — no additional transfer mechanism required.

5.4. Encrypted messengers

If you choose to contact MantelHandel LLC via Telegram, Signal, Threema or WhatsApp, the operator of the relevant messenger service processes your communication data under its own privacy policy. MantelHandel LLC has no influence over the data-processing practices of these providers. Please review the privacy policies of:

Such sharing occurs only with your prior consent and to the extent necessary for the service requested.

6. International Data Transfers

Personal data processed by MantelHandel LLC is transferred to and stored in the United States, where MantelHandel LLC and its principal processors (Vercel Inc. and Google LLC) are based. Such transfers occur under the EU-US Data Privacy Framework, established by the European Commission's adequacy decision of 10 July 2023 (C(2023) 4745), and the corresponding UK Extension to the EU-US Data Privacy Framework and Swiss-US Data Privacy Framework.

Under the Data Privacy Framework, transfers of personal data from the European Union, the United Kingdom and Switzerland to certified US-based organizations are deemed to provide an adequate level of data protection consistent with EU, UK and Swiss law. Both Vercel Inc. and Google LLC are certified under the EU-US Data Privacy Framework and its UK and Swiss extensions. Current certification status can be verified on the public list at dataprivacyframework.gov.

In the event that the Data Privacy Framework adequacy decision is invalidated or otherwise becomes inapplicable, MantelHandel LLC will rely on Standard Contractual Clauses (Module 2: Controller-to-Processor) approved by the European Commission Implementing Decision (EU) 2021/914, complemented by a Transfer Impact Assessment, as the alternative transfer mechanism.

7. Your Rights as a Data Subject

If the GDPR applies to the processing of your personal data, you have the following rights:

  • Right of access (Art. 15 GDPR) — to obtain confirmation of whether personal data concerning you is being processed and access to that data

  • Right to rectification (Art. 16 GDPR) — to correct inaccurate personal data

  • Right to erasure / right to be forgotten (Art. 17 GDPR) — to obtain deletion of your personal data, subject to legitimate exceptions

  • Right to restriction of processing (Art. 18 GDPR)

  • Right to data portability (Art. 20 GDPR) — to receive your data in a structured, commonly used, machine-readable format

  • Right to object (Art. 21 GDPR) — to object to processing based on legitimate interests

  • Right to withdraw consent (Art. 7(3) GDPR) — where consent is the legal basis, you may withdraw it at any time without affecting the lawfulness of processing prior to withdrawal

  • Right to lodge a complaint with a supervisory authority (Art. 77 GDPR), in particular the supervisory authority in the EU Member State of your habitual residence, place of work, or place of the alleged infringement

In addition, with respect to data transferred to US-based processors under the Data Privacy Framework, you may have rights to access, correction or deletion of your personal data, as well as access to an independent recourse mechanism free of charge, in accordance with the principles of the Framework.

8. Data Retention

Personal data is retained only for as long as necessary for the purposes for which it was collected, or as required by applicable law. General retention periods are set out alongside the relevant purpose in Section 3. Specific retention periods may exceed the general periods where required by law (e.g., AML record-keeping).

9. Data Security

MantelHandel LLC implements appropriate technical and organizational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or unauthorized access. Measures include encryption in transit (TLS 1.3), restricted-access communication via end-to-end-encrypted messengers, and minimization of data collection.

No internet-based service can be guaranteed to be entirely secure. While MantelHandel LLC strives to protect your personal data, MantelHandel LLC cannot guarantee absolute security of any information transmitted to or from the website.
